The void check produced is designated as VC (void check) with a document status of V (void). A void check has the same reference number as the original check issued. The facts, as we understand them, are that Microsoft decided to stop selling Dynamics SL to new customers on September 30, 2023 and they have published the dates for the end of mainstream and extended support for SL 2018, which is expected to be the last major version.

Microsoft’s stated policy is to continue mainstream support for SL 2018 until January 9, 2024 and extended support until July 11, 2028. The difference being that once in extended support software updates will no longer be provided, with the exception of the possibility of fixes for security vulnerabilities. The last cumulative update for SL 2018 is expected to be available in December of 2023. However, even after the expiration of extended support, paid support and self-help support may still be available from Microsoft for a time. During the mainstream and extended support periods customers can purchase additional 2018 modules and add users to their system.

SL 2015 is already in extended support which is planned for expiration January 14, 2025. If you are on this version, you can delay the expiration of extended support by three and a half years by upgrading to SL 2018. If you were on a Microsoft support plan when SL 2018 was released you are entitled to this upgrade at no charge until 2028.

You can confirm this information for yourself at Fixed Lifecycle Policy - Microsoft Lifecycle | Microsoft Learn.

What this means for you

The end of mainstream support or even extended support by Microsoft doesn’t mean you have to stop using Dynamics SL. We have provided support to many clients who continue to use older versions of Dynamics SL for which official support, both mainstream and extended, ended years ago. However, they can be vulnerable to situations where an update to MS Windows, SQL Server, or other operating software may be incompatible in some way with the older version of SL. Over the decades we’ve been supporting SL we’ve seen this happen just a few times to users of out of service versions.

Regardless of your risk tolerance, all SL clients will eventually need to choose another accounting solution, but you have plenty of time to plan carefully for that transition. There are lots of options in the marketplace for accounting software but none will be an exact match to the SL you’ve grown accustomed to and your next solution will likely be more expensive than your current system since most, if not all, systems are now available only by annual subscription. Although no one likes to have change forced upon them, this may be a good opportunity to reevaluate your requirements and the best way to satisfy them. The good news is that you have plenty of time to do that.

We can help

If you still have questions we haven’t answered here, don’t hesitate to get in touch. We also have some very beneficial add-on software products to help you get more out of your SL system. One of which is a mobile Time and Expense entry system provided by our sister company, Beyond Software.

When you start your planning for what comes after SL we recommend you also consider Beyond’s solution for financial and project accounting which uses the same Time and Expense software that integrates with SL and we have the ability to move all your SL history in the transition.

It's not over

Dynamics SL is a very feature rich and flexible product and still has a lot to offer over the coming years to its very loyal customers. Is it safe to assume that wherever that ‘cloud’ is, your data is being managed with the same precision as you would do yourself if it was on hardware in your building?

How we got to this point:

Thirty years ago the stand-alone computer that contained all of a company’s data was locked in a closet nightly. Literally a closet…usually located along the least used hallway in the building.

That closet was treated much like a bank vault. Only certain individuals were granted access through that door. Employees caught walking down that hallway were met with 20 questions before they could proceed on, in order to make sure they were allowed to be there. Backups were made nightly/weekly/monthly and stored off site. The IT department was responsible for all of these activities.

Then, organizations changed to placing their corporate data on a server accessible by everyone in the company. Security policies were put in place assigning each employee to a role. The role defined what access, or permissions, the individual was granted to in the database. IT departments managed the security policies and were responsible for maintaining employee access rights. Servers were set up with mirroring capabilities and virtual images were created to store backups. If a server went down, the backup servers could be configured for direct access. The IT department was responsible for managing these practices.

Now, companies trust a third-party Cloud Solutions Provider (CSP) to maintain the hardware, software, operating system, databases and access to each. Companies have downsized, and in some cases eliminated altogether, their IT department. They depend on the CSP to provide all IT related services. The CSP is now responsible for maintaining security policies. The company’s ability to manage disasters rests in the agreements they have with the CSP.

Do you know if, and how often, your database is being backed up?

Cloud providers usually include this information in their Disaster Recovery Plan, which is part of the service you’re paying for (it's important to read all the provisions of a Cloud Solutions Provider).

Make sure to ask your CSP to demonstrate proof that the Disaster Recovery Plan is more than just backing up the database regularly. Whatever backup method is being used, the provider should be able to prove they can recover/restore the backups in a reasonable timeframe.

Having backups that cannot be restored or recovered is of no value. Downtime is one thing. Losing years of history and your current activity is something completely different.

Imagine the following scenario:

You get a call from one of your top customers asking what their outstanding balance is so they can make payment.

When attempting to access the data, you are unable to connect to the database.

You tell the customer you will gather the details and get right back with them. After waiting five minutes, you still get the same result; unable to connect.

Then you receive an email notification that your service is down temporarily. Hours later you are still waiting for news that the data is accessible again.

By the end of the day, you call your provider, only to be told there was a hardware failure and they are working to restore your database. "Expect a 24-48 hour turnaround."

Days go by and you hear nothing; you have nothing to tell your customer, so no payment is made.

Similarly, when customers can't pay, it strains cash flow and makes it harder for you to pay your bills. This is not a situation you want to find yourself in.

So the answer is YES. Database backups are still relevant and important!

Regardless of who you have tasked with maintaining your data, at the end of the day it is YOUR data. Making sure you make one extra inexpensive backup every once in a while can prove to be worth its weight in gold.

Dynamics SL 2018 Year-End Reporting Tips & Hints

https://www.solomoncloudsolutions.com/news--events/dynamics-sl-2018-year-end-reporting-tips-hints

https://www.solomoncloudsolutions.com/news--events/dynamics-sl-2018-year-end-reporting-tips-hints#comments

Dynamics SL

Year End

Are you experiencing year-end reporting issues? You should select a frequency that helps you maintain a healthy cash flow while striking the right balance for your customer based on the work being done. Establishing the billing frequency helps you and your customer understand expectations for a project. As part of this, you and your customer should have a mutual understanding of how you’ll handle possible overruns and missed deadlines, should something occur. It’s your responsibility as the service provider to ensure these measures are in place to avoid any billing surprises.

4 Things to Consider Before Setting Up a Billing Process

It’s important to set the billing cycle to match the project work. You’ll want to consider the length of the project, the cost of the project, and whether the project involves phases or milestones. Another consideration is how to handle expenses associated with the project.

1. Length of Project

The length of the project is a factor when considering the right billing cycle. If the project is relatively short, say one (or a few) month(s) or less, you might decide to bill upon completion. This is a one-time bill for the entire cost of the project. If this type of project has a high dollar value, you may want to consider a weekly billing cycle so you can manage actual costs to budgeted costs. If the project is an ongoing project for services, you may want to consider a weekly billing cycle, especially if your customer is billing their customer in return.

2. Scheduled Billings (Cost of Project)

Large dollar value projects, regardless of the duration of the project, may be managed best by setting a scheduled billing for a fixed amount that represents a percentage of the project at agreed upon intervals over the course of the project. An example of this type of billing cycle is a schedule that bills for 50% of the total project amount at the beginning of the project and 50% at completion.

3. Phase/Milestone Billing

If you expect the project to run for multiple years, another option to consider is milestone billing. With this billing cycle, you invoice your customer when a phase/milestone is complete. If the amount of time between milestone billings is too large to support a healthy cash flow, you might consider a quarterly or monthly billing cycle. This allows you to recognize revenue while the expenses (direct and indirect) are being incurred.Shortening the cycle allows you better management of your cash flow’s INs and OUTs.

4. Project Expenses

Some projects require expenses, such as materials, licenses and permits, to be paid prior to starting the project, as well as other expenses over the course of the project. It’s important to establish with your customer who is responsible for covering these expenses. If you take on the expense with the agreement that your customer covers all or part of the cost, you should set a billing frequency for them that allows you to recover your costs in a reasonable time. If the project allows the billing to be passed through to the customer upon receipt, that provides the highest likelihood of quick payment.

Establishing a solid project plan, which includes expenses, and getting approval on all parts of the project prior to starting the work will create a solid relationship with the customer that allows both parties to plan for upcoming expenses. This eliminates surprises that catch either you or your customer off guard and potentially place the project at risk.

Billing Repeat Customers

While you might assume you will use the same billing cycle for established customers, this may not always be the case. As we’ve noted, you need to consider how variables change from project to project. It’s best to treat each project individually and negotiate the billing cycle as part of the pre-planning process. This avoids any surprises and leads to a stronger relationship with your customers.

Visit Us at SL User Group 2018!

https://www.solomoncloudsolutions.com/news--events/visit-us-at-sl-user-group-2018

https://www.solomoncloudsolutions.com/news--events/visit-us-at-sl-user-group-2018#comments

SLUG

Solomon is a proud sponsor of the 2018 Dynamics SL User Group, being held in St. Louis on April 23-26. Just like Spring Cleaning, its purpose is to get rid of, or put into storage (aka archive) things you no longer use, but are not ready to part ways with entirely.

We can apply this idea to our ERP systems to ‘clean them up’ so they are optimized for day-to-day use. You will be surprised how much more efficiently your business runs when your software system is clutter-free. As you might with Spring Cleaning, if this task seems overwhelming or too time consuming, taking a room-by-room (module-by-module) approach can make it more manageable.

General Ledger

In General Ledger, look for accounts and subaccounts no longer in use. Setting them to inactive allows historical data to be retained and prevents them from being accidentally selected during transaction entry in the future.

Remember, the system runs faster when it only needs to look through active records during searches and queries. Update or enter new budgets to reflect projections for the new year. There is no need to purge data. With your new budgets in place, you can rest assured you are measuring results against the new projections.

Accounts Payable

In Accounts Payable, it’s a good time to make sure all of the bills are paid that can be paid. Then, review the list of vendors and set those you no longer plan to do business with to a status of Inactive. If you plan to use new vendors for orders and services, now is a good time to add them in the system, including W-9 information, if applicable.

Having new vendors ready for selection when you need to make the next purchase or contract for their services, allows the accounts payable staff to focus their energy on getting the best prices and rates rather than worrying about system setup. In the case of large orders or contracts, the savings can add up.

Payroll

Companies that take responsibility for payroll internally should remember to update employees, deduction withholdings, and tax rates periodically. Keeping deduction withholding amounts and tax rates up to date ensures accurate payroll processing. Specifically at the end of the year, after W-2s are finalized, it’s even more important to make sure that terminated employees are set to inactive.

This will eliminate them being accidentally included in the first payroll of the new year. Payroll calculations process more quickly when terminated employees (set to inactive) are no longer included in the calculation. Winter cleaning is also a good time to make sure you have up to date address information for your employees. This will be beneficial when you need to send W-2’s.

Inventory

If you keep track of inventory items, set those you no longer plan to track to inactive status and set up new ids for any new items you plan to use in the coming year. Before setting the status to inactive though, remember to make sure the quantity (qty) on hand is zero and the inventory item has no remaining value.

When the inventory items, with zero quantity on hand, are marked inactive, your ability to find the active items will improve. Reports will be shorter as they will no longer include the now inactive items. Organizations that carry a large volume of different items will particularly benefit from this clean up task. Queries run faster when data optimization is complete. Remember also to deactivate sites, warehouse locations/bins, and lot serial numbers no longer needed.

Projects

Project focused organizations should review projects, tasks, and labor accounts no longer needed and set to inactive. Review budgets and update them to reflect the predictions for the future year. Accurate analysis of projects can make the difference in meeting a deadline or staying within budget.

Removing clutter allows project managers to make quick decisions, which often are needed to secure additional funding for projects. Now is also a good time to review your resources (employees and subcontractors). Set those no longer providing project services to inactive status, this will make resource assignment more efficient.

Conclusion

Winter cleaning can often go undone when the business is running at full speed. Left untouched, they create clutter in your ERP system and slow down day-to-day processes, with users giving little thought to what might improve processing. As the clutter increases, your employees may eventually feel the same level of stress and frustration as a homeowner who neglects ‘Spring Cleaning’ for multiple years and whose drawers and closets are pushed to overflowing. Prevent frustration and stress by performing your “Winter Cleaning” today.

If you have additional ‘Winter Cleaning’ tips or questions, please send them to rellerbr@solomoncloudsolutions.com for inclusion in future articles.
